Venue Policies
As Gilded Fern Estates, we want every celebration to feel beautiful, intimate, and thoughtfully cared for. To protect our guests, our properties, and the natural surroundings that make our estates so special, we ask that all guests and vendors follow the policies below.
EVENT CAPACITY
The Gilded Fern Estates specializes in intimate celebrations and micro weddings.

Events are limited to a maximum of 30 people, including the couple and guests, unless otherwise stated in your venue agreement.
​
All events must be reserved and approved in advance. The property may not be used for an event, gathering, or celebration under a standard overnight accommodation reservation unless specifically authorized by The Gilded Fern Estates.
COMMERCIAL USE & PHOTOGRAPHY
Personal photography associated with a booked wedding, elopement, engagement, or approved event is welcome.
​
Professional photography, videography, styled shoots, brand photography, advertising campaigns, workshops, content creation, commercial productions, or other business-related use of the property requires prior written approval.
​
Additional venue fees, insurance, deposits, or agreements may be required depending on the nature of the commercial use.
​
The Gilded Fern Estates name, logo, photographs, and branding may not be used for commercial advertising or promotion without permission.
VENDORS
Outside vendors are welcome with prior approval.
​
Couples are responsible for ensuring their vendors understand and follow all property and venue policies.
​
Depending on the services being provided, vendors may be required to provide proof of appropriate licensing and/or insurance.
​
Any large equipment, tents, generators, specialty installations, food trucks, trailers, or similar items must receive approval before being brought onto the property.
EVENT INSURANCE
Wedding and event clients may be required to obtain special event liability insurance and provide proof of coverage 14 days before the event.
​
Specific coverage requirements will be provided in the venue agreement.
ALCOHOL
Alcohol must be handled responsibly and in accordance with all applicable laws and venue requirements.
​
If alcohol is being served, additional insurance, licensed service providers, or other requirements may apply.
​
Gilded Fern Estates reserves the right to stop alcohol service or address behavior that creates a safety concern or risks damage to the property.
SMOKING & VAPING
Smoking and vaping are not permitted inside any building.
​
Smoking or vaping may only occur in designated outdoor areas, if provided. Cigarette butts and other materials must be disposed of properly.
FIRE & OPEN FLAMES
Because our properties are surrounded by Alaska's beautiful natural landscape, fire safety is extremely important.
​
Candles, fire pits, sparklers, fireworks, open flames, and other fire-related items require prior approval.
​
Outdoor fires may be prohibited during high fire danger, burn restrictions, or unsafe weather conditions.
DECORATIONS
We welcome thoughtful décor that complements the property.
​
Decorations may not cause permanent damage to buildings, trees, landscaping, furniture, or other property.
​
Nails, screws, staples, permanent adhesives, confetti, glitter, and similar materials may not be used without prior approval.
​
All décor and personal items must be removed within the timeframe established in the venue agreement.
PROPERTY & NATURAL AREAS
Please help us protect the beauty of The Gilded Fern Estates.
​
Flowers, plants, trees, natural features, structures, furnishings, and landscaping may not be cut, removed, altered, climbed upon, or damaged.
​
Guests should remain within designated event and parking areas.
CHILDREN
Children are welcome when included in the approved guest count.
​
Parents and guardians are responsible for supervising children at all times. Our properties include natural terrain and outdoor areas that may present hazards and should be enjoyed with appropriate care.
PETS & ANIMALS
Pets are not permitted at events unless specifically approved in writing in advance.
​
Service animals are accommodated as required by applicable law.
​
Any approved animal participating in a ceremony or photography session must remain under the control of its handler.
PARKING
Parking is limited to designated areas.
​
Parking arrangements and vehicle limits will be established according to the selected property and event package.
​
Guests and vendors may not block roadways, neighboring properties, emergency access, or other restricted areas.
WEATHER
Alaska weather can change quickly, and outdoor events are held with this understanding.
​
Couples are encouraged to have a weather contingency plan.
​
Weather conditions alone do not automatically constitute grounds for cancellation, refund, or rescheduling. Specific cancellation and rescheduling terms will be outlined in the signed venue agreement.
​
The Gilded Fern Estates reserves the right to restrict use of an outdoor area when conditions create a significant safety risk.
DAMAGE & SECURITY DEPOSIT
A security deposit may be required for weddings and events.
​
Clients are responsible for damage caused by themselves, their guests, vendors, or other individuals associated with their event beyond normal wear and tear.
​
Additional cleaning, damage, unauthorized use, or failure to follow venue requirements may result in charges as provided in the venue agreement.
EVENT HOURS & QUIET ENJOYMENT
Event access, setup, celebration, cleanup, and departure times will be established in the venue agreement.
​
Events must end at the agreed-upon time.
​
Because our properties are part of the surrounding Alaska community, we ask guests to be respectful of neighbors and observe applicable noise requirements.
CANCELLATIONS & RESCHEDULING
Deposits, payments, cancellations, and rescheduling are governed by the signed venue agreement.
​
We strongly encourage couples to consider wedding or event cancellation insurance for circumstances outside their control.
DRONES
Drone photography or videography requires prior approval and must comply with applicable laws and regulations.
​
Drone operators are responsible for obtaining any required authorization and operating safely and respectfully.
RESPECT FOR THE PROPERTY
Gilded Fern Estates is more than an event space. These properties and the land surrounding them have a story, and we are honored to share them with our couples and their families.

We simply ask that you treat the estate, the land, and our neighbors with the same care and respect you would give your own home.
